Litify case management system implementation for insurance defense law firm
Our client, a law firm with more than 1000 employees in 44 offices throughout the United States, had no case management system. It urgently needed a solution to relieve employees of manually tracking work and deadlines, as well as share important data and resources between office locations.
Client challenge
This 1000+ employee insurance defense law firm, had no unified matter or document management systems implemented across its 44 locations. The attorneys and staff lacked a centralized system to take in new cases, manage tasks, track deadlines, manage/update documents, and analyze data. New cases were logged in the firm’s billing system, and the rest of the tracking happened manually. Each team tallied its own data on spreadsheets, sent emails to other departments or office locations to request reports, and stored files independently. Inter-location collaboration was limited because data sharing was difficult, and the law firm staff spent valuable time hunting down data, recreating documentation, and following up on tasks or deadlines.
Our solution
This client partnered with Turnberry to implement its first matter and document management software: Litify. Litify is an application built on the Salesforce platform that allows law firms and legal teams to access centralized case intake, time and task management, file storage and organization, and robust data and reporting.
Turnberry developed the strategy and managed the implementation of the software, as well as provided organizational change management expertise to the hundreds of users moving from separate manual tracking methods to a centralized case management system.
As a result of this successful software implementation, training, and change management, the attorneys now have all the data they need at their fingertips. Managing partners at all 44 offices now have visibility into how many new cases have come in or closed, how many cases are assigned to each attorney, how many tasks are in progress or overdue, and more; the client simply has to log in to Litify and see a dashboard of all the key data.
In addition, Turnberry’s Litify implementation has provided the client with a robust, centralized document management system. Firm staff members can now reference existing motions or documentation across all locations, allowing the team to lean on one another’s knowledge and experience when writing new content. The firm has added time tracking, automation, and billing rules to further streamline its processes and maximize revenue realization.
Results
This program transformed the business. Thanks to powerful software, a strategic approach, and expert change management, this implementation made people much more efficient, informed, and effective. After a successful phase one, which brought matter management, task management, document management, enterprise-wide reporting, and office-specific reporting onto Litify, Turnberry is currently implementing phase two: moving billing and accounting management to Litify.
