Overview:

The Project Coordinator, functioning as an Executive Assistant & Project Coordinator, will provide high-level administrative support to the President and Chief Operating Officer while managing key projects and initiatives. This role is designed for a detail-oriented, highly organized professional capable of balancing multiple priorities in a fast-paced environment. The ideal candidate will possess organization in calendar management, travel coordination, expense processing, and a thorough understanding of project management processes, including the development of project plans, tracking progress, and producing reports and presentations.

 

Responsibilities:

Administrative Support

  • Calendar Management: Maintain and coordinate the executive's calendar, ensuring alignment with strategic priorities. Schedule meetings, calls, and events, and provide timely reminders.
  • Travel Coordination: Organize travel logistics, including flights, accommodations, transportation, and itineraries, ensuring all details are efficiently handled and communicated.
  • Expense Management: Process and track expenses. Prepare and submit expense reports in a timely manner.
  • Communication Management: Handle correspondence (email, phone, etc.) on behalf of the executive, including drafting and sending emails, responding to inquiries, and prioritizing communication as needed.

Project Coordination

  • Project Planning: Develop and maintain detailed project plans for key initiatives. Define project scope, goals, timelines, and deliverables, ensuring alignment with strategic business objectives.
  • Tracking and Reporting: Monitor the progress of ongoing projects, track milestones, and provide regular status reports. Identify potential issues and communicate them proactively.
  • Collaboration: Collaborate with cross-functional teams, ensuring that key stakeholders are informed and aligned throughout each project.
  • Presentation Preparation: Create and maintain high-quality slide decks, reports, and other presentation materials for both internal and external stakeholders. Prepare materials for meetings, ensuring they are visually appealing and aligned with key messages.

Additional Assistance

  • Assist with ad-hoc projects and tasks as requested by the executive.
  • Manage confidential and sensitive information with discretion.
  • Help streamline operations and processes, suggesting improvements for efficiency where appropriate.
  • Maintain a high level of organization and time management to ensure all responsibilities are executed promptly 

Qualifications:

  • 1+ years as a Project Coordinator, or similar role, with a focus on both administrative support and project management.
  • Ability to work onsite at one of our office locations
  • Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and project management tools (e.g., Jira, Asana, Trello, or similar).
  • Experience in preparing professional presentations and reports.
  • Exceptional organizational and time-management skills with the ability to handle multiple priorities and deadlines.
  • Strong communication skills, both written and verbal, with the ability to interact with individuals at all organizational levels.
  • High attention to detail and accuracy in managing schedules, travel arrangements, and expenses.
  • Ability to work independently with minimal supervision and proactively identify and solve problems.
  • A strong sense of confidentiality and professionalism when handling sensitive information.
  • Bachelor’s degree or equivalent work experience in a related field (preferred).
  • Flexible and adaptable to changing demands and priorities.


The salary range for this role is $57,500 to $75,000 or the hourly equivalent.
